Guide

POS and ecommerce, working together.

If you sell both in a physical store and online, managing two separate systems creates inventory conflicts, double data entry and scattered orders. This guide explains why combining POS with ecommerce makes sense, what to look for, and how it works in practice.

The case for one system

Why combine POS and ecommerce?

Many Indian retailers start with either a physical store or an online store, then add the other later. Without a combined system, they end up with:

  • Overselling — a product sells at the counter, but the online store still shows it in stock. A customer orders it online and you cannot fulfil it.
  • Manual stock updates — after every in-store sale, someone has to manually update the online inventory. This is error-prone and time-consuming.
  • Scattered orders — online orders in one system, in-store bills in another. No single view of total sales.
  • Inconsistent pricing — different prices online and offline because they are managed separately.
  • No unified customer view — a customer who buys in-store and online appears as two different records.

A POS that shares inventory and orders with the ecommerce store solves all of these problems.

Evaluation criteria

What to look for in a POS + ecommerce system

Fast counter billing

The POS should handle quick checkout at the counter — ideally 2-click billing with barcode scanning for speed

Automatic inventory sync

When a product sells through either channel — online or POS — stock should update in both automatically, with no manual intervention

Barcode workflows

Generate barcodes for products and scan them for fast billing and product lookup at the counter

GST invoicing

Generate GST-compliant invoices with GSTIN, tax rates and HSN/SAC codes directly from the POS — no separate billing software

Unified order management

See and manage online orders and in-store bills from one dashboard, not two separate systems

Unified analytics

See total sales, orders and performance across both online and offline channels in one report

Works across devices

The POS should work on desktop and mobile so you can bill from a laptop, tablet or phone

WhatsApp bill sharing

Send bills and receipts to customers on WhatsApp directly from the POS

Day-to-day workflow

How POS + ecommerce works in practice

1

Set up your product catalogue once

Add products, prices, variants and stock levels in one place. Both the online store and POS use the same catalogue.

2

Bill at the counter with POS

Scan barcodes or search products for fast checkout. Generate GST invoices and accept cash, UPI or card payments.

3

Receive online orders automatically

Online orders appear in the same dashboard. No need to check a separate system for website orders.

4

Inventory stays in sync

A sale at the counter reduces online stock. An online sale reduces POS stock. Both update in real time.

5

Share bills on WhatsApp

After billing at the counter, send the receipt to the customer on WhatsApp. Send order updates to online customers too.

6

Review unified analytics

At the end of the day, see total sales across both channels — online and offline — in one report.

Honest expectations

Offline POS operation: what to expect

Some retailers need POS to work during internet outages. Here is what to realistically expect:

  • Initial load requires internet — the POS needs an internet connection to load initially and fetch your product data
  • Billing can continue during temporary outages — once loaded, if the internet drops temporarily, billing can continue at the counter
  • Sync requires internet — after offline billing, an internet connection is needed to sync the data to the cloud so your online inventory and dashboard reflect the latest sales
  • Not fully offline — the POS is not designed to operate without any internet for extended periods. It needs connectivity to function reliably

If your store frequently loses internet for long periods, consider a backup connection or hotspot to ensure reliable POS operation.

FAQ

Frequently asked questions

If you only sell online, you do not need a POS. A POS becomes valuable when you have a physical store or plan to open one. It handles in-store billing, barcode scanning, GST invoicing and keeps your offline and online inventory in sync so you never oversell.
